ATS-Friendly Resume Format: What an ATS Can Read (2026)

An ATS-friendly resume format is one column of real text with standard headings. We checked vendor pages and 9,403 job descriptions to find what is true.

Short answer

An ATS-friendly resume format is one column of real text with standard headings: Summary, Skills, Experience, Education, and Projects. Put your contact details in the body of the page, not in a header, a footer, or a text box. Do not put important text in tables, graphics, or icons. Send a text-based PDF or DOCX, and follow the instruction in the application form.

Key points
  • Use one column, standard headings, and real text. Keep your contact details out of the header and the footer.
  • We could not find a primary study for the claim that an ATS rejects 75% of resumes. Do not rely on it.
  • The automatic rejection that vendors document comes from your answers to application questions, such as work authorization.
  • Send the file type that the application form asks for. A text-based PDF or a DOCX is usually fine.
  • Paste the text of your resume into a plain text editor. Check the reading order, the dates, and the contact details.

Many guides about the applicant tracking system (ATS) repeat numbers that have no source. For this guide, we opened the help pages of ATS vendors and read them. We also counted the words in 9,403 job descriptions that Careerfornia users pasted.

Each fact about an ATS product has a link to its source. The other points are plain format advice, and we say so.

What is an ATS and what does it do with your resume?

An ATS is the software that a company uses to collect and organize job applications. It does three things with your resume:

  1. It stores the application. Your resume and your answers to the application form go into one record.
  2. It parses the file. The software reads the text and copies it into fields, such as name, email, and job title. If the parse fails in Greenhouse, the recruiter must type your details into the fields by hand.
  3. It lets recruiters search and filter. For example, a Greenhouse user can search resumes for keywords.

Large companies almost always use one. In its 2026 report, Jobscan detected an ATS for 97.4% of Fortune 500 companies. That is 487 of 500 companies.

The ATS is the place where the recruiter works. The next section shows who makes the decision.

Does an ATS reject resumes automatically?

We found no evidence that an ATS rejects most resumes automatically. The automatic rejection that vendors document comes from your answers in the application form.

Where does the "75% of resumes are rejected" claim come from?

Many articles say that an ATS rejects 75% of resumes before a person sees them. We searched for a primary study and could not find one.

HR consultant Christine Assaf also looked for the origin. HiringThing reports that she traced the number to Preptel, a job-services company that closed in 2013. She found no study behind it. Do not rely on this number.

There is a small study in the other direction. Enhancv interviewed 25 US recruiters. 23 of them said their systems do not auto-reject resumes for formatting, content, or design. The sample is small, and Enhancv sells resume tools. Read it as a signal, not as proof.

What does happen to your application?

What happensWhat the source says
Knockout questionsGreenhouse has a rule named Auto-Reject. It rejects candidates based on their answers to application questions.
Recruiter keyword searchGreenhouse Talent Filtering lets a recruiter set each keyword to Required or Preferred.
Grades in some systemsWorkday HiredScore gives each candidate a grade from A to D. The grade shows how well the resume matches the job description.
AI review with a human decisionAshby says that in its AI review, no scoring or ranking is involved. The reviewer approves or rejects.

Employers use these tools. Harvard Business School researchers asked employers that used a recruitment management system. More than 90 percent relied on it for a first cut or to rank applicants.

Each employer sets up its ATS in a different way. You cannot see the setup. You can control two things: a file that parses correctly, and the words in it.

What resume format can an ATS read?

Use one column of real text with standard headings. This is the base of an ATS-friendly resume format in 2026.

Greenhouse publishes a list of formats that can cause a failed or partial parse. The list includes graphics, tables, headers and footers, a columned layout, and resumes uploaded as an image.

Other ATS products use other parsers. We did not test each one. The table below is general advice.

File nameYour name and the word resume, such as Firstname-Lastname-Resume.pdfNames such as "final-v7.pdf"

PDF or DOCX: which file should you send?

Send the file type that the application form asks for. If the form accepts both, a text-based PDF or a DOCX is usually fine.

People often ask if an ATS can read a PDF. Here is what we can support with a source:

Use these rules:

  1. If the form names a file type, send that type. If it asks for DOCX, send DOCX.
  2. Make the PDF with "Export" or "Save as PDF" in a document editor. Do not print and scan the page.
  3. Keep the file small. Remove photos and large images.

How do you check that an ATS can read your resume?

Copy all the text from your PDF and paste it into a plain text editor. This test is free and takes two minutes.

Test 1: the plain text test

  1. Open the PDF of your resume.
  2. Select all the text and copy it.
  3. Paste it into a plain text editor, such as Notepad.
  4. Read the result from top to bottom.
CheckWhat a problem looks like
Reading orderLines from two columns are mixed together
HeadingsA heading is missing, or it is in the middle of a sentence
DatesA date is far from its job title
Contact detailsYour name, email, or phone number is not there
CharactersBullets or icons become boxes or odd symbols

If you cannot select the text, the file is an image. Export it again from the document editor.

This test does not copy the parser of a specific ATS. It shows which text is in the file, and in which order.

Test 2: the autofill test

Some application forms fill their fields from your resume after you upload it. Look at each field: name, employer, job title, and dates. If a field is wrong, correct it in the form. Then repair that part of your resume.

Do keywords matter for an ATS?

Yes. Keywords matter when a recruiter searches the ATS and when a match feature compares your resume to the job. The sources in the table above show both.

Use the exact words of the job description. If it says "Power BI", do not write "PBI". Add a keyword only when it is true for you.

Job descriptions are short, so each keyword is important. The median job description in our data has 411 words. SQL is in 81% of 1,265 data analyst job descriptions.

What do job descriptions contain that an ATS can filter on?

Job descriptions state conditions such as sponsorship, work authorization, citizenship, and work location. Application forms often ask about the same conditions as yes or no questions.

We counted these conditions in 9,403 job descriptions:

  • 6.7% use the word "sponsor".
  • 4.0% ask for work authorization.
  • 5.2% ask for citizenship or a clearance.
  • 15% give a pay range.

People search for how to get past an ATS. No format changes the result of a knockout question. Read the job description for these conditions before you apply, and answer each question truthfully. If you need sponsorship, read our resume guide for international students.

What does a simple ATS-friendly resume layout look like?

It is one column with five standard sections in this order. If you have less than two years of work, put Education above Experience.

FIRST NAME LAST NAME
City, State | Phone | Email | LinkedIn URL

SUMMARY
Two or three lines: job title, years of experience, top three tools

SKILLS
Tool 1, Tool 2, Tool 3, Tool 4, Tool 5

EXPERIENCE
Job Title, Company, City, State
Mar 2024 to Present
- A bullet with a tool, an action, and a result
- A bullet with a tool, an action, and a result

Job Title, Company, City, State
Jun 2022 to Feb 2024
- A bullet with a tool, an action, and a result

PROJECTS
Project Name, tools that you used
- One or two bullets

EDUCATION
Degree, School, Year

What mistakes break parsing?

Avoid these five layout choices. Each one can hide text or change its order.

  • Two columns. A parser can read across the two columns and mix the lines. Use one column.
  • Icons for contact information. An icon is an image, not text. Write the words: "Email" and "Phone".
  • Skills as rating bars or graphics. A bar has no text for a recruiter search to find. Write the skill names.
  • Dates in odd formats. Use the month and the year in the same format for each job.
  • Creative section names. A heading such as "Where I have been" is not clear. Write "Experience".

How did we get our numbers?

We used the job descriptions that Careerfornia users pasted from September 2025 to October 2026. We removed duplicates. That left 9,403 different job descriptions. For each condition or keyword, we counted the job descriptions that contain it.

The sample has limits. It is the jobs that our users applied to. Most are data and software jobs in the United States. It is not a sample of all jobs.

For the statements about ATS products, we opened each linked page on October 12, 2026. Vendors change their products, so open the links for the current text. We did not test resumes in each ATS. We cannot promise a result from any format.

Questions and answers

What is an ATS-friendly resume?

It is a resume that software can read without errors. It has one column, standard headings such as Skills and Experience, and real text. It has no tables, text boxes, or graphics for important text.

Can an ATS read a PDF?

Yes, when the PDF has real text that you can select. Greenhouse, for example, lists .pdf and .docx as supported formats. A scanned PDF is an image, and a parser cannot read it reliably.

Does an ATS reject resumes automatically?

We found no primary study that shows it for most resumes. Vendor documents describe automatic rejection from answers to application questions, such as work authorization. Recruiters also search and filter resumes by keyword.

Is it true that 75% of resumes are rejected by an ATS?

We could not find a primary source for this number. A search for its origin leads to a job-services company that closed in 2013, and no study. Do not rely on it.

How do I check if my resume is ATS-friendly?

Select all the text in your PDF, copy it, and paste it into a plain text editor. Check that the sections, the dates, and your contact details are complete and in the correct order.
